This newly created Executive Assistant role has arisen within the dynamic, positive, innovative, and caring workplace of this well-regarded, medium size Christian primary school of 520 students and 74 staff. The successful candidate will be responsible for the harmonious and efficient management of the Principal’s Office through the provision of high-level business support for the Principal and the School Board. Guided by the School’s strategic plan, the Executive Assistant will partner with the broader leadership team to build responsive solutions and desired outcomes.
This newly created role is for immediate commencement and the successful individual will be a personable professional with outstanding communication, emotional intelligence, integrity, initiative, discretion, innovation, resourcefulness, time management, high attention to detail, and problem-solving skills. The ability to work autonomously, manage priorities, set and meet targeted deadlines, and ‘think on one’s feet’ in decision-making, are essential.
To ensure the delivery of professional support to the Principal and School Board, the applicant must possess a high level of executive business administration skills and have the capacity to effectively deliver a broad range of business administration services, in support of the School’s vision and values.
Reporting to the Principal, the Executive Assistant will:
- Deliver efficient, high-level executive business administrative and secretarial support to the Principal.
- Act as the gatekeeper and gateway of the Principal’s time and office, with discretion around confidential and sensitive matters.
- Provide comprehensive support to the School Board, working with the Board Chair to ensure the effective and efficient discharge of the School Board’s responsibility and authority.
- Work closely and provide comprehensive reporting and communication between the Principal and Business Director with the Board Chair and members, Directors, and other key stakeholders.
- Conduct research on behalf of the Principal and draft/produce correspondence, reports, presentations, media releases, and proposals.
- Ensure effective management planning, and coordination of the Principal’s diary and schedules in teaching, meetings, appointments, and travel requirements - booking rooms, equipment, travel, and accommodation as per the Principal’s commitments ensuring that all relevant documents are collated for onsite and offsite meetings.
- Welcome School visitors with openness, always aiming to best meet their needs.
- Research, prioritise, and pre-empt ‘pre-and-post’ follow-ups on incoming issues and requests addressed to the Principal, including those of a sensitive or confidential nature.
- Determine the appropriate course of action (referral or response) with efficiency, diplomacy, and initiative in readiness for the Principal to manage the situation.
- Work closely and effectively with the Principal supporting upcoming commitments and responsibilities and following up appropriately.
- Employ a high level of communication skills to draft and disseminate correspondence as approved by the Principal.
- Disseminate minutes of meetings in a timely manner with attention paid to file maintenance.
- Possess good project management skills.
- Organise and oversee functions hosted by the Principal.
- Display leadership and contribute to building positive relationships with all key stakeholders, internal and external to the School.
- Display discretion by modelling appropriate communication and service orientation in line with the School’s Vision, Values, and Learning Principles.
- Attend some after-hours work meetings.
The School is located 25 minutes in driving distance, north of Adelaide CBD.
A solid working knowledge of office processes, with current advanced skills in Microsoft Office 365 (MS Outlook, Word, Excel, and SharePoint), online communication tools, and IT knowledge are essential. Tertiary business or VET qualifications in business administration or equivalent are desirable.
